POSITION SUMMARY
Splashlight’s Creative Resource Coordinator is an integral part of our People & Culture team. This dynamic role will operate at the intersection of HR, Creative, Production, and Finance to drive the following key deliverables:
- Help deploy the right Creative resources into the right assignments so that great work can be accomplished, while also leveraging these resources efficiently to increase our organization’s profitability and provide a satisfying, manageable, balanced, and happy work life for our teams.
- A passion for making data-driven decisions to manage resource allocation with an emphasis on productivity through sound financial planning and analysis e.g. profit analysis, utilization reporting, efficiency reporting, and forecasting & budgeting that drive exceptional business performance.
- Foster an environment where creativity can flourish and employees and freelancers can thrive by implementing people initiatives that continuously improve their work experience.
The specific duties and responsibilities of each are explained below.
RESOURCE COORDINATION
- Working closely with leadership in Creative, Merchandizing, Production and Accounts, help identify and manage resourcing needs for all potential and assigned productions.
- Coordinate, track, schedule, and optimize the utilization of Splashligh’s Creative Resources. This includes Photographers, Stylists, Art Directors, and other Creative professionals.
- Monitor day-to-day project activities and resources, identifying potential instances of under/over utilization and actively work with department leads to address and solve those issues.
- Be accountable for results by anticipating and addressing potential challenges in getting on-time, on-budget deliverables and adjusting the team’s priorities and processes accordingly.
- Play an active role in sourcing, networking, and increasing Splashlight talent pipeline for full and freelance talent for current and future projects, especially eCommerce photography & video.
- Effectively uses collaboration to the benefit of business, and creative teams, ensuring efficiency, profitability, and balance.
FINANCIAL REPORTING
- Lead the weekly resourcing meeting, ensuring all client-facing and internal projects have been allocated appropriately e.g. teams are in line with capacity and client needs.
- Working with Finance and Production ensures profitability and productivity metrics and KPIs drive resource allocation decision-making.
- Run and analyze monthly utilization and billability reports.
- Analyze any staffing trends and apply findings and metrics to future needs.
EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, & PERSONAL ATTRIBUTES
- 1-2 years of experience in Creative Agency, Advertising/Marketing, or Retail organization is preferred.
- Experience in Project Management tools (for example, Jira, Trello, Atellio) preferred.
- An understanding of creative workflows is also preferred.
- Experience managing and onboarding freelancers, vendors, agencies, and contractors.
- E2E understanding of how to create, manage and optimize timelines and budgets.
- Working knowledge of Google Apps Suite.
- Highly organized.
- Exceptional communicator.
- Detail-oriented.
- Tech-savvy with the ability to learn new concepts quickly.
- Strong problem-solving skills with a positive and even-tempered attitude.
- Experience working on projects with high-volume deliverables.
