Job Description
We are looking for a Senior Executive Assistant to support our Chief Product Officer. In this role, you’ll interact with all levels of our organization as well as high-profile customers, partners, and associates.
As a successful Senior Executive Assistant, you’ll manage a wide range of administrative support-related tasks that optimize our Executives effectiveness and efficiency. You are resourceful, proactive, efficient, and maintain an approachable and professional presence to internal and external contacts.
The candidate will work from the Carpinteria office when their Executive is in the office (~3 days per week) and reports into the Manager, Administrative Assistant Enablement & Operations.
What you’ll do:
- Work closely and effectively with Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Self identify and autonomously handle high impact projects while maintaining confidentiality and discretion
- Strategize regularly with the Chief Product Officer, proactively handle matters, and follow-through on meetings, projects, and initiatives to successful outcomes, often with deadline pressures
- Keeps finger on pulse and activities of the Product team, escalating concerns to management as appropriate and identifying solutions in areas where potential improvements are needed
- Oversees new hire onboarding for Product (deck completion, onboarding meeting setup etc.)
- On behalf of Executives, communicate directly and professionally with their direct reports, senior leadership, customers and partners on matters related to their organization
- Support Executive in preparation of team meetings, capture action items, run point on resolution and circulate meeting notes
- Complex calendar management: Updating meeting cadences to reflect business priorities, aligning with Executives on schedules, proactively scheduling complex/large meetings, working with external and internal stakeholders regularly
- Independently handle travel coordination and monthly expense reconciliation
What we’re looking for:
- 4+ years of tactical/strategic administrative support at the Executive level within a SaaS company
- Bachelor’s degree in a Business Administration/related program, or equivalent work experience
- High proficiency with Slack, Google Apps, Concur, Workday and MS Office Suite
- Dedication to meeting the expectations of leadership and other senior executives by maintaining effective relationships across the organization
- Belief in one’s capabilities and ideas, with a willingness to express an independent perspective
- Demonstrated professionalism, exceptional communication, and interpersonal skills
- Ability to remain flexible and agile in a constantly changing environment
- Stakeholder management skills, ensuring teamwork, collaboration and alignment across Product SLT members
