Outsiders Fund is an early-stage venture capital firm that partners with founders with novel backgrounds disrupting outdated and overlooked markets where massive value remains trapped in stale technology or infrastructure. Role Overview:
We are looking for an Operations Associate to join our team. This role will be responsible for a variety of operational, administrative, analytical and ecosystem development tasks to support the firm’s activities. You will provide crucial cross-functional support to the firm by being entrenched in both day-to-day operations that keep the firm running efficiently as well as strategic projects meant to grow the firm’s presence within the venture ecosystem. You will play a key role in managing, refining and elevating our investment processes and infrastructure. You will gain a deep working understanding of the structure and management of a VC fund, the day-to-day mechanics of operating a VC firm, fund administration, the sourcing and investment process and overall firm strategy. You will also gain extensive exposure to high-level decision making and will engage on a regular basis with the whole team. You will have visibility into the firm’s deal flow, portfolio details and investment performance.
We envision this role being one that will see immense growth in responsibilities broken down into three parts: Fund administration and management; CRM, technology, analytics and portfolio support; and ecosystem development. During the first 6-9 months, you will focus primarily on immersing yourself into the management, administration and operations at a VC firm (getting up to speed with the fund’s day-to-day administration and activities and managing the firm’s CRM, tech stack, systems and processes as well as key dates and meetings). Following the initial period we expect to delegate most of the day-to-day operational and administrative tasks, and to re-focus this role toward refining the key systems and processes that enable the firm to grow and scale, as well as leading the firm’s marketing and ecosystem development activities.

Role Responsibilities:
1. Fund Administration & Management
- Manage relationships with external vendors, handle accounts payable, ensuring timely invoicing and payment processing.
- Organize specific internal and external meetings and events, including scheduling, logistics, etc.
- Manage communications and correspondence with internal and external stakeholders.
- Maintain the investment team calendar of key dates and ensure timely visibility for other investment team members.
- Light administrative support and office management.
- Serve as a point of contact with the firm’s fund administrators, accountants, tax professionals, auditors, and banking contacts.
2. CRM, Technology, Analytics & Portfolio Support
- Own and help build and oversee the internal systems and processes that will enable our firm to scale to the next level.
- Maintain and work to continuously improve the investment team’s deal tracking and relationship management system, investment analytics, etc.
- Administer firm tools and software subscriptions.
- Oversee, track and analyze portfolio support initiatives and activities, identify trends, insights, and opportunities for improvement.
- Maintain, oversee and refine the firm’s investment and portfolio company records, including deal documentation, portfolio data, performance information, investment reference data, QSBS tracking, etc.
- Ensure the firm maintains up to date information from portfolio companies regarding position details (e.g. up to date cap tables, valuation details, board composition, etc.)
- Regularly checking for quality and accuracy of quantitative information (e.g., investment figures, dates, ownership, board seats) and qualitative information (e.g., market analysis, business descriptions, performance updates).
- Prepare and run regular meetings of the firm, including semi-annual portfolio reviews, missed deals aggregation and benchmarking activities.
3. Ecosystem Development
- Responsible for brand management, PR and communications, client engagement, design, online and digital marketing. Management of relationships with partners and vendors. Website management.
- Lead the firm’s efforts to connect to the VC ecosystem and build deep community networks.
- Cultivate community and VC platform expertise through networking, attendance at events, conferences, meetings, etc.
- Working with others, ensuring the firm delivers exceptional, differentiated regular portfolio and ecosystem meetings, creative programming and events (both in-person and online), to drive community engagement and add value for portfolio companies and the firm. Sourcing and leveraging content and speakers and guests, topic curation, guest lists and programming.
- Working with others to cultivate a network of advisors to introduce to our portfolio community.
- Help manage relationships and communications with portfolio company stakeholders.
About You:
- You have a minimum of 2 years’ experience working in a VC firm in a platform or operations role.
- You have an understanding of the startup ecosystem and VC processes and operations and an interest in the nuts and bolts of VC.
- You are a natural people connector, networker and someone who creates community around you.
- You have exceptional organizational skills, attention to detail and a pride in ownership of work.
- You are proficient with modern business tools and platforms, including Excel, PowerPoint, CRMs, LLMs, Pitchbook, Zapier, QuickBooks, etc.
- You are scrappy, move quickly and never hesitate to roll up your sleeves.
- You work collaboratively, have excellent verbal and written communication abilities.
- You have advanced organization and planning skills with the ability to work to tight deadlines and balance competing priorities.
- You have a proven ability to work independently, take initiative and drive results.
