Description
The Office Administrator & HR Coordinator will provide critical support to the HR department and manage administrative, operational, and facilities tasks. This role involves engaging in the HR lifecycle, from recruitment to employee relations, and serving as a key point of contact for various departmental needs.
The ideal candidate will possess a deep understanding of human emotions and the ability to navigate interpersonal dynamics with sensitivity and grace. This role requires a professional who can foster a supportive and understanding work environment, ensuring that all employees feel heard and valued.
Responsibilities: HR Coordinator:
- Initiate and process new hire paperwork and conduct onboarding for new employees.
- Check-in with new hires within the first week to see how they are doing
- Maintain accurate and up-to-date employee records in our HRIS system.
- Assist with benefits administration, including answering employee questions and processing enrollment requests.
- File documents securely, prepare new hire files, and manage the company swag store.
- Update employee anniversary and birthday lists and coordinate sending cards.
- Update and distribute phone lists to relevant personnel when new employees join, or phone numbers change.
- Conduct semi-annual data calls to collect and update work site numbers.
- Format and distribute the corporate newsletter (content provided by various departments).
- Assist HR Manager and other departmental leaders in gathering and coordinating information.
- Partner with other departments and HR teams to fulfill requests efficiently and accurately.
- Support the implementation of action plans based on manager feedback
- Understand and interpret HR policies and procedures.
- Educate managers and team members on relevant policies.
- Contribute to data-driven recommendations and conclusions.
- Assist with high-priority, confidential HR data requests
Office & Event Administration: - Maintain inventory and replenish office supplies.
- Sort and distribute mail and packages, ensuring secure handling.
- Manage postage inventory and coordinate mail pick-ups and deliveries.
- Greet visitors, issue badges, and direct them to proper personnel.
- Act as the point of contact for all office equipment and office maintenance issues, coordinating with property management company.
- Work with vendors to troubleshoot equipment problems and coordinate building maintenance with property management
- Coordinate logistics for all-hands meetings and other events sponsored by the company as needed.
- Work with vendors to secure venues, catering, and supplies within budget.
- Obtain cost estimates for events and secure executive management approval.
- Attend corporate events and manage event execution details.
- Manage RSVPs and communicate event announcements to attendees.
Requirements
Requirements: - Must be U.S. Citizen, eligible to obtain a U.S. Government Security Clearance
- 3 years working in a customer service role that includes experience in an office administrator role
- Must have reliable transportation
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience in Microsoft O365 (MS Forms, SharePoint, Teams)
- Proficient in email communication and management, with a strong ability to compose, organize, and respond to emails independently, efficiently and professionally.
- Excellent communication and interpersonal skills.
- Data Entry and Database management experience
- Must have exceptional organizational and critical thinking skills.
- Must have strong analytical and problem-solving skills.
- Must function independently yet productively as a cooperative team member.
- Must be able to handle matters in a discrete and confidential manner.
- Must be able to maintain quality documentation.
- Flexibility to take on additional tasks as required by the team or department
- A passion for learning and desire to obtain Associate Professional in Human Resources Certification (aPHR) within 1 year of hire.
Desired Skills: - Associate's or Bachelor's degree in Human Resource Management
- PHR or SHRM-CP certification
- Experience in an HR or administrative role.
- Experience using Paylocity
- Knowledge of HR terminology and practices
Salary Range for this position: $75,000.00 - $120,000.00

Salary Description
$75,000-$120,000
