The Accounts Payable Specialist’s duties include the timely issuance of check payments to internal and external clients. As a vital member of the division, this position is responsible for certifying W9 forms, processing 1099 forms, complying with B-notice regulations, and ensuring accuracy in 1099 backup withholding and reporting. The role demands meticulous attention to detail and the capacity to adhere to strict deadlines.
The preferred candidate will have a background in bookkeeping, audit preparation, accounting, or dealership administration. A fundamental knowledge of Microsoft Office Products and effective communication skills are also required.
The role is based on-site, Monday through Friday, at our Chesterfield, MO, office.
Key Responsibilities
- Print, sort, and promptly dispatch weekly and monthly commissions and dealer over-remits for APD products.
- Generate and distribute weekly claim checks.
- Manage checks needing special handling, such as those with address issues, specific grouping and mailing requirements, expedited delivery, or additional documentation.
- Administer the 1099 process, including W9 form collection and validation, B-notice compliance, and verification of 1099 backup withholding and reporting details.
- Reconcile and submit monthly audit reports to ensure year-end 1099 form accuracy.
- Provide support for Accounts Payable operations within APD and Revolos.
- Ensure effective communication with internal and external clients via email, messaging, and phone.
- Undertake extra tasks or special projects to aid the business’s goals.
Requirements
- High School Diploma or equivalent certification.
- 1 year of experience in a bookkeeping, audit preparation, Accounts Payable, or equivalent role required.
- Demonstratable knowledge of Microsoft Office Products.
- Strong interpersonal communication skills
Preferences
- Associates degree or certificate in Accounting, Bookkeeping, or similar focus.
- 1 year of experience with a high-volume disbursement process.
- Demonstratable knowledge of or 1 year of experience with 1099s and W9s.
