Job Overview
As an Administrative Assistant at AIIM, you’ll be at the heart of our operations, supporting our leadership team and ensuring the smooth functioning of our programs and initiatives. You will handle a variety of tasks, from managing schedules and coordinating events to supporting member services and assisting with projects. Your role will be essential in helping us deliver exceptional experiences to our members and stakeholders.
Job Duties and Responsibilities
Administrative Support: Manage schedules, organize meetings, and maintain calendars for the leadership team.
Communication: Serve as a primary point of contact for internal and external communications, ensuring prompt responses.
Event Coordination: Assist in planning and executing events, webinars, and training sessions, including managing logistics and registrations.
Member Services: Respond to member inquiries, update membership databases, and ensure members have access to resources.
Documentation: Maintain accurate records, files, and reports to support organizational efficiency.
Project Assistance: Provide support for ongoing projects, ensuring deadlines are met and deliverables are of high quality.
General Office Tasks: Handle correspondence, prepare presentations, and perform other administrative duties as needed.
Qualifications and Requirements
Proven experience in an administrative or support role, preferably in a nonprofit or association setting.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with virtual collaboration tools (Zoom, Slack, etc.).
Detail-oriented with strong problem-solving abilities.
Ability to work independently and as part of a team.
Preferred Skills
Experience with customer relationship management (CRM) systems or membership management platforms.
Familiarity with information management or AI-related industries.
Event planning and coordination experience.
